Project Administrator

CIRCA is looking for an experienced, highly motivated and dedicated Project Administrator to join our small Sydney team, in a part-time (three days per week) position. The Project Administrator will support the CIRCA research team to deliver numerous research and evaluation projects concurrently.  The Project Administrator position entails:

  • Working in a client-focused team, committed to best practice when working with Aboriginal and Torres Strait Islander and culturally and linguistically diverse (CALD) communities

  • Assisting CIRCA’s Manager and Research Consultants; performing varied administration and office functions

  • Keeping CIRCA’s project management system up to date

  • Fieldwork management – liaising with and providing administrative support to field researchers, including our team of bilingual and Aboriginal and Torres Strait Islander consultants

  • Keeping project financial information up to date, managing payments and invoices

  • Identifying and setting up admin systems for a small team of consultants

  • Contributing to the administrative requirements of tenders, proposals and ethics applications

  • Professional formatting of PowerPoint, Excel, and Word documents and reports.

Selection Criteria

To be successful for the role, you will need to demonstrate the following:

  • Previous experience in a similar, administrative role

  • Excellent interpersonal and communication skills - demonstrated ability to communicate confidently and respectfully, particularly on the phone with CALD and Aboriginal and Torres Strait Islander consultants and stakeholders

  • Effective time management and ability to coordinate multiple projects concurrently

  • Demonstrated capacity to work autonomously and show initiative, with a hands-on and collaborative approach to meeting deadlines

  • Strong competency in all Microsoft Office applications particularly Excel, Word, PowerPoint

  • Ability to work with all levels of management and staff

  • Precise attention to detail, strong process orientation

  • Desirable:

  • Data visualisation skills

  • Cross-cultural skills

  • Direct experience in a research and evaluation consultancy environment

  • Experience with WordPress
